In a rapidly evolving world of work, it is crucial that companies keep pace and implement innovative solutions for their working hours and access control systems. New work environments require advanced hardware and software that combine efficiency, precision and ease of use. Modern terminals for time recording, data recording and access control play a key role. Let’s take a look at how the right selection of software and terminals can improve workforce management:
How our terminals work
Our terminals are not «mini computers», but rather microprocessor technology. Compared to computers, the microprocessor features simplified processes that are financially beneficial to customers.
The terminal system is decentralized. This means that each device communicates individually with the system via interfaces. There is no central internal server. Communication with our server takes place via the Internet. This offers numerous benefits to customers. This means that customers do not have to install their own servers to use our terminals. Furthermore, thanks to decentralized control, all other terminals continue to function undisturbed even in the event of a terminal failure.
The use and installation of our terminals follows the “plug and play” principle. This means that all terminals are pre-configured by us. Here you can take customer requests into account, for example regarding the assignment of buttons and the information to be displayed. The customer can then simply connect the pre-configured terminals to the power supply stopped immediately and functional.
Efficient login and logout
Traditional methods of tracking time, such as clocks or manual recording, can be time-consuming and error-prone. Modern terminals, on the other hand, offer a variety of functions that streamline the process and make it easier to manage work time.
Time tracking has never been easier. With modern terminals, employees can log in and log out quickly and easily via transponders, PINs, cards or other identification methods. These quick and simple processes minimize questions and offer transparent recording of working hours.

Support employee self-service
In addition to performance, we also attach great importance to the ease of use and comfort of our terminals. Clear user interfaces and intuitive operation allow even new employees to quickly familiarize themselves with the system.
Furthermore, the terminals offer additional functions such as Employee Self Service, which allows employees to check their working hours, view vacation days or check absenteeism directly at the terminal. This not only contributes to employee satisfaction and independence, but also relieves the HR department of administrative tasks.
Complete control over working hours and access rights
Our terminals not only allow the recording of working hours and the reading of each employee’s vacation, overtime and absenteeism times, but also offer complete control over access rights.
You can specify permissions for selected days of the week, times, date ranges, or doors. Furthermore, lockout days can be established so that, for example, access is not permitted on public holidays, during company holidays or due to construction work. This means that employees only have access at the times they want and there are fewer misbookings.
Access control via terminals makes a significant contribution to the security of employees and company buildings.

Furthermore, authorizations can also be regulated via time recording in order to control employee flows and regulate peak hours.
For example, you can control the rush to the bar/canteen at lunchtime, which is common in many companies. Through fixed times and places where groups of people (e.g. from different areas of the company) can «clock in», you can regulate exactly when and where your employees arrive.
Terminal data processing and seamless integration
What exactly happens when a reservation is made at the terminal?
When used, each terminal sends metadata that is stored and protected by us. There are several “parachutes” built into the process.
Each booking is initially saved on the device itself. In the next step, the raw data is sent to us. For this purpose, an intact Internet connection is required. If this is not available, the terminal stores the reservation until the data transmission is successful. This means that your booking data is not lost, even in the event of internet problems.
When the raw data is received by our server, it saves the data. The server then sends feedback to the device that the data is stored securely.
In the interest of data protection there is no connection to the person within the device itself. The terminal simply sends the transponder number, booking type and time to our server via the Internet. The assignment of the transponder to a person takes place only on our server. This means that your personal data is protected at all times.
The terminals are seamlessly connected to our WFM One workforce management software so that data is transferred and processed automatically. This minimizes errors and saves valuable time when manually entering data. Furthermore, they allow a direct link to staff deployment planning and shift planning to ensure a smooth process.
Safe handling and data protection
The protection of your employees’ personal data is an absolute priority for us. Thanks to the connection between terminals and software, the recorded data is absolutely secure and cannot be manipulated, which forms the basis for accurate calculations and invoices.
With strict privacy policies and advanced encryption technologies, these terminals ensure that sensitive information is kept safe and protected from unauthorized access.
Our terminals support various transponder technologies, the standard is “MIFARE DESfire”. In terms of security, this involves a high security standard thanks to current encryption technologies, so that our terminals cannot be easily hacked.
Additionally, the terminals offer additional security features such as automated verification of driving licenses to ensure they are up to date. This not only offers legal security, but also relieves staff of administrative tasks.
Preparing for the digital future
In view of the upcoming legal requirements for digital time recording, it is important to invest in modern terminals now. Digital time recording is becoming mandatory. The delivery times of these terminals could therefore be significantly longer in the near future, so it is advisable to act in time.

Whether located in an office building, a factory or even a construction site, these terminals offer rugged construction and flexible installation options to suit a wide range of work environments. Our terminals comply with the IP54 standard. They therefore offer protection against dust and splashes of water and are suitable for indoor or less demanding environments. They can also resist temperatures from -20°C to +60°C. They are versatile and can be easily adapted to the individual needs of each company.
Partnership with leading hardware vendor
We have been collaborating for years with our partner Datafox to offer you the best solutions for your time and access control systems.
Our terminals are the Datafox EVO line in three different versions. We offer the 3.5 and 5.0 editions. Version 5.0 is the latest version with some design updates.
